Retail inventory management software

Stock that updates itself. Because Vanikra is a billing POS, every bill reduces inventory; stock is held per product and per variant, serial numbers are tracked, and low-stock items are flagged so you reorder on real numbers.

How does POS software manage inventory?

POS software manages inventory by treating every bill as a stock movement: when a product is billed, its stock count is reduced by the quantity sold. Stock is held per product and, where relevant, per variant or serial number, and products that fall below a threshold are listed as low-stock. Vanikra does this from the same product catalogue that drives billing and reports.

What inventory management covers in Vanikra

Stock per product

Every product in the catalogue has a stock quantity that the bill reduces.

Stock per variant

A shirt in three sizes and two colours is six stock counts, not one. Product management →

Serial numbers

Individual units of items such as phones can be tracked by serial number in stock and on the bill.

Automatic reduction on bill

Billing a line reduces stock immediately. No register, no re-entry.

Low-stock tracking

Items running low are listed on the dashboard (for example, "24 low stock items").

The inventory workflow, step by step

  1. Step 1

    Set up products

Name, category, price, tax, SKU, barcode and, where needed, variants. The SKU management guide explains a simple scheme.

  2. Step 2

    Enter opening stock

Count what is on the shelf and record it per product or variant.

  3. Step 3

    Bill through the POS

Every bill reduces stock. Barcode scanning ensures the right product and variant is reduced. Barcode billing →

  4. Step 4

    Watch the low-stock list

Reorder from suppliers based on the list rather than a shelf walk. Reorder guide →

  5. Step 5

    Record incoming stock

When supplier deliveries arrive, add the quantities to the products so the count stays true.

  6. Step 6

    Check product reports

See what is selling and what is sitting so reorders and promotions follow the data.

Where stock mismatches come from, and what the software prevents

Cause of mismatchWhat happens in the storeHow billing-POS inventory helps
Sales not recorded item by itemCash goes in, stock register untouchedEvery bill reduces stock automatically
Wrong product billedCashier picks "Blue shirt M" instead of "Blue shirt L"Barcode identifies the exact variant
Deliveries recorded lateShelf has stock the system does not know aboutStock-in entered when goods arrive

Inventory management vs a spreadsheet

A spreadsheet holds a number; it does not know a bill happened. Billing-POS inventory changes the number at the moment of sale. The comparison POS software vs Excel for inventory lays out where each approach breaks.

Inventory questions

How does inventory update after a sale in POS software?

When a product line is billed, the POS reduces that product's stock by the quantity sold, immediately. For products with variants, the specific variant's stock is reduced. No separate entry is needed.

Can POS software manage inventory on its own, without a separate inventory tool?

For most retail stores, yes. Vanikra keeps stock per product and per variant, reduces it with every bill and flags low-stock items, which covers the day-to-day inventory needs of a store. Larger operations sometimes add purchase or warehouse systems on top.

What is low-stock tracking?

A list of products whose stock has fallen to a level that needs attention, shown on the dashboard so reorders are based on live numbers. The Vanikra dashboard shows the count of low-stock items alongside today's sales.

Can I track stock by size and colour?

Yes. Products can have variants such as size and colour, and stock is held per variant. See product management.

Can I track serial numbers?

Yes. Serial number tracking is available for items such as mobiles and electronics so that an individual unit can be identified on the bill and in stock.

How do I reduce stock mismatches?

Bill every sale through the POS, use barcodes so the right product is always reduced, enter stock when it arrives, and count high-value or fast-moving items regularly. The guide retail inventory management covers this in detail.
