GST Billing Software Guide for Indian Retailers: What It Does and What to Check
GST billing software generates invoices with Goods and Services Tax applied correctly for each item, shows the tax on the bill, and keeps the records needed for returns. In a retail POS, the GST rate lives on each product and is applied automatically at the counter. This guide covers what a GST invoice needs, how tax-inclusive retail pricing works, and what to check with any vendor.
What GST billing software does
- Stores the tax rate per product. Different goods attract different GST rates; the software holds the rate on each product so the cashier never chooses it. (product management)
- Calculates tax at billing. For each line, the taxable value and tax amount are computed from the price and rate. (POS billing)
- Shows the tax on the invoice. As CGST + SGST for sales within a state, or IGST for sales between states.
- Keeps the records. Sales and tax figures by period for your accountant. (reports)
What a GST tax invoice generally shows
For a GST-registered supplier, a tax invoice typically carries the following. Verify the current list against official sources.
- Supplier's name, address and GSTIN
- A consecutive invoice number and the date
- Recipient's name and address; the recipient's GSTIN for B2B supplies
- HSN code for goods (the number of digits required depends on turnover)
- Description, quantity and unit
- Taxable value per line, rate, and tax amount as CGST/SGST or IGST
- Place of supply for inter-state supplies
- Signature or digital signature where required
Retail B2C bills are often simplified, and rules differ for small-value invoices; check what applies to your case.
Tax-inclusive pricing at the counter
Indian retail shelf prices usually include GST. The software's job is to show the split without changing what the customer pays.
| Shelf price (incl. GST) | GST rate | Taxable value | GST amount | Shown as (intra-state) |
|---|---|---|---|---|
| ₹118 | 18% | ₹100.00 | ₹18.00 | CGST ₹9.00 + SGST ₹9.00 |
| ₹112 | 12% | ₹100.00 | ₹12.00 | CGST ₹6.00 + SGST ₹6.00 |
| ₹105 | 5% | ₹100.00 | ₹5.00 | CGST ₹2.50 + SGST ₹2.50 |
The customer pays the shelf price either way. What the software adds is a correct invoice and correct records, with no arithmetic at the counter.
How a POS handles GST better than a standalone billing tool
A standalone GST billing app can produce a correct invoice. What it usually cannot do is reduce stock, attach the sale to a customer, record the payment method and update a dashboard, because it does not have that data. In a POS, the invoice, the stock change and the sales figure come from the same transaction. See POS software vs billing software.
Questions to ask any vendor
- Is the GST rate set per product, and can it be changed centrally?
- Which invoice fields are printed: GSTIN, HSN, per-line taxable value, CGST/SGST/IGST breakup?
- How are B2B invoices (with the buyer's GSTIN) handled?
- How does the software handle inter-state sales (IGST)?
- What reports or exports does my accountant get for returns?
- If e-invoicing applies to my turnover, is it supported?
Vanikra stores the tax setting on each product and applies it at billing; the exact invoice fields for your business should be confirmed with sales. See POS billing or ask sales with your invoice requirements.
Frequently asked questions
What is GST billing software?
Software that generates invoices with Goods and Services Tax applied correctly per item, shows the tax on the bill and keeps the records needed for GST returns.
What is the difference between a tax invoice and a bill of supply?
A tax invoice is issued by a GST-registered supplier for taxable supplies and shows tax. A bill of supply is issued where tax is not charged, for example by composition-scheme dealers or for exempt goods. Confirm which applies to your business with a CA.
Do I need GST billing software if I am not GST-registered?
Not for tax invoices, but a POS still helps with billing, stock and reports. Whether you must register depends on turnover and other rules; check the official GST portal or a CA.
Does POS software file GST returns?
POS software records sales and tax; return filing is typically done in accounting software or on the GST portal using those records. Ask your vendor what reports or exports they provide for your accountant.
